Note: Each procedure in this guide begins at the Contract Insight homepage, so any section can be followed on its own. Custom fields are configurable, so the exact field list on a contract category record may vary between environments.

1. Overview

Administration > Application Settings > Email Manager links out to a dedicated "Inbound Email" screen (via "Set up inbound email" in the top right), described as controlling "whether people can create and reply to records by email, and the forms they fill in." It assigns the organization a receiving subdomain (blackbox.cobblestone.software in this QA environment, with mail routed automatically to the application's InboundParse endpoint and a live "Receiving mail" status), and separately governs who is allowed to create new records by email versus reply to existing ones, split between employees and vendor/customer contacts. Email Manager's own "Alert on Reply" setting complements this by sending an alert to the assigned person whenever a reply email is received on a record.

 

2. Key Elements

  • Administration > Application Settings > Email Manager has a "Set up inbound email" shortcut (top right) that opens the dedicated Inbound Email screen.
  • The Inbound Email screen's Setup tab shows the organization's receiving domain and name (e.g. blackbox.cobblestone.software), where mail is delivered internally, and a live status ("Receiving mail").
  • "Who can use it" settings separately control who can create new records by email (e.g. "Only people whose permissions let them create that record type"), who can reply to existing records as an employee (e.g. "Anyone with a Contract Insight login"), and who can reply as a vendor/customer contact (e.g. "Only contacts attached to that record").
  • A separate "Record templates" tab on the same screen (not explored in depth this session) governs the forms people fill in when creating a record by email.
  • Email Manager's "Alert on Reply" toggle (in the ALERT(S) section) sends an email alert to the assigned person whenever a reply is received, working alongside inbound email monitoring rather than replacing it.
