5. Assign/Un-Assign Users to a Survey

12. Surveys & Decision Trees › 2. Surveys/Questionnaires › 5. Assign/Un-Assign Users to a Survey

Note: Each procedure in this guide begins at the Contract Insight homepage, so any section can be followed on its own. Custom fields are configurable, so the exact field list on a contract category record may vary between environments.

1. Overview

Who responds to a given survey instance is established when the survey is attached: attaching a survey to a single record (via that record's Attach Survey action) associates it with the respondents relevant to that record, while Surveys > Bulk Surveys — "Merge a survey across many records at once" — is the tool for assigning the same survey to a large batch of records/respondents in one operation, tracked as a Process with a Created date, the user who ran it, and a live Completion count (this environment's example processes range from small batches like "0 / 1 completed" up to "1 / 13345 completed"). Each bulk survey process has its own Dashboard for monitoring progress. Once responses start coming in, Surveys > Survey Results shows exactly who has responded to a given survey instance — each respondent appears as a named column (e.g. "Billy Bugman," "HRS Admin") in that instance's results grid — making it possible to see at a glance which assigned users have and haven't completed their responses.

2. Key Elements

  • A survey is assigned to respondents at the point it is attached — either to a single record via that record's Attach Survey action, or in bulk via Surveys > Bulk Surveys.
  • Bulk Surveys merges one survey across many records/respondents at once, tracking each run as a Process with a Created date, the user who ran it, and a live Completion count.
  • Each Bulk Surveys process has its own Dashboard link for monitoring how many of the assigned respondents have completed the survey.
  • Surveys > Survey Results lists every respondent who has been assigned a given survey instance as a named column in that instance's results grid, showing at a glance who has and hasn't responded.
  • This environment's Bulk Surveys processes range widely in scale, from single-digit batches up to over 13,000 targeted records in one run.
