2.4 Company Contacts and User Fields

Module: Vendor/Client Gateway › Step 2: Managing Gateway Fields › 2.4 Company Contacts and User Fields

Note: Each procedure in this guide begins at the Contract Insight homepage, so any section can be followed on its own. Custom fields are configurable, so the exact field list on a contract category record may vary between environments.

1. Overview

With Area set to Vendors/Customers Contacts, the VCG Fields tab controls which fields appear on a company's individual contacts/users — the people who actually sign in to the Gateway — separately from the company/vendor record itself, which has its own Vendors/Customers area.

Note: Every change on the Fields tab saves as you make it — there is no separate Save button.

2. Key Elements

  • VCG → Fields tab → Area: Vendors/Customers Contacts governs contact-level fields such as name, title, email, phone, and login credentials. This area has no record type.
  • This is distinct from the Vendors/Customers area, which governs the parent company record's own fields and requires a Record Type.
  • Gateway-related fields such as Username, Password, Is Active, and Is Company Admin live on the contact and control that person's Gateway access. Add Is Active and Is Company Admin from Not shown if Gateway company admins should manage them.
  • The same field set feeds the Gateway-side Contacts/Users menu's Add Contact/User and Contact/User List screens.
  • The Search, Add, Edit, and Required columns control how each field behaves on those Gateway screens.

3. Navigating to the Gateway Fields Tab

  1. From the Contract Insight homepage, click the Application settings icon at the bottom of the left navigation bar.
  2. Under Gateways & Portals, click Vendor/Client Gateway (VCG).

4. Managing Contact/User Fields

The contact field set opens. The left column lists the fields On the Gateway; the right column lists the fields Not shown.

  1. Add a field to the Gateway: under Not shown, use Find a field to locate it (for example, Is Active or Is Company Admin), then click « Add.
  2. Remove a field from the Gateway: click the » (Take off the Gateway) icon next to the field.
  3. Reorder fields: drag a field by its handle (⠿), or focus the handle and use the arrow keys.
  4. Set field behavior: tick Search, Add, Edit, or Required for each field.
  5. Bulk changes: click Add every field or Remove all fields.

Note: Keep Username and Password on the Gateway with Add ticked so Gateway company admins can create sign-in credentials for new contacts. The page lists recommended fields under Worth including.

5. Column Reference

6. Company (Vendors/Customers) Fields vs. Contact Fields

To manage the fields on the company record itself, set Area to Vendors/Customers instead, then choose a Record Type. Each company record type has its own Gateway field set.
