View Permissions by Record

Note: Each procedure in this guide begins at the Contract Insight homepage, so any section can be followed on its own. Custom fields are configurable, so the exact field list on a contract category record may vary between environments.

1. Overview

Seeing which specific records a permission applies to is done through the same Rules & conditions builder used to define the scoping in the first place (Administration > Manage User Permissions, a permission's Rules tab). The builder's "Stored condition" line shows the exact SQL WHERE clause currently in effect, and its "Count matching records" button runs that condition live against the database and returns how many records it currently resolves to — giving a direct, verifiable answer to "which records does this permission reach" without needing to browse the records individually.

 

2. Key Elements

  • Open a permission from Administration > Manage User Permissions and switch to its Rules tab to see the condition(s) currently scoping it to specific records.
  • The "Stored condition" line renders the rule as a literal SQL WHERE clause (e.g. where (tblContracts.EnteredBy = 17887)), making the exact record-level scope of a permission transparent rather than implicit.
  • "Count matching records" executes that condition against live data and reports the number of records it currently matches, letting an administrator confirm a rule's real-world reach before or after saving it.
  • A permission with no rules defined (shown as "—" in the Rules column of the Manage User Permissions list) applies to every record in its area rather than a subset.
