External E-Sign Setup
Application Configuration: External E-Signature Integrations
Note: Each procedure in this guide begins at the Contract Insight homepage, so any section can be followed on its own. E-signature configuration applies to everyone who sends documents for signature and should be performed by an Application Administrator.
1. Overview
Where an external e-signature integration has been licensed, Contract Insight can send documents out for signature through that provider and bring the signed copies back automatically. The External ESign screen is where each provider is configured: how signing requests are addressed, how signers are chased, and what comes back when the document is signed.
Four integrations are offered: DocuSign, Adobe Acrobat Sign, signNow and DocJuris. Each has its own configuration screen, reached by selecting its tile.
Configuration is separated from connection. The External ESign screens hold the behaviour — subjects, messages, reminders, import preferences — while the connection to the provider account itself is held on the OAuth Authorizations screen, and the timing of automatic imports is set on Scheduled Jobs.
2. Accessing External E-Sign Setup
To open it:
From the Contract Insight homepage, click Administration at the bottom of the left navigation menu. On the Administration page, under Automation & Data, select External ESign.
The screen shows the prompt “Select the integration to configure.” above a tile for each provider — DocuSign, Adobe Acrobat Sign, SignNow and DocJuris. Click a tile to open that provider’s configuration. ← Administration in the upper right returns to the Administration page.
Note: An integration has to be licensed before it can be used. The tile opens the configuration either way, so check the licensing position before assuming a provider is available to senders.
3. Connections, Settings and Timing
Three separate screens are involved in a working integration:
- External ESign — the behaviour of each provider: the wording of signing requests, reminders and expiry, and what happens to the signed file when it returns
- OAuth Authorizations — the connection itself: which provider accounts Contract Insight is connected to and the account each one acts as. Connecting or disconnecting a provider is done here, and the signNow API key and secret are held here too.
- Scheduled Jobs — how often signed documents are collected from the provider
Note: Because the connection lives on its own screen, a provider’s settings can be edited without touching the authorization — and re-authorizing does not disturb the wording and import preferences already configured.
4. DocuSign
The DocuSign screen is described as “How documents sent for signature through DocuSign are addressed, chased and returned.” Edit settings in the upper right switches the page into edit mode.
It is organised into the following sections:
- Connection environment — whether the connection is to Sandbox or Production, with a Switch environment button
- Connection — the API Account ID the integration acts as
- Signing request defaults — the Email subject and Email message sent to signers
- Signed document import — whether to combine signed documents into one file, include the DocuSign certificate of completion, and import back to the folder the original file came from
- Reminders — whether to remind signers who have not signed yet, how long until the first reminder, and how often to repeat
- Expiry — whether signing requests expire if unanswered, after how long, and how far ahead to warn the signer
- Sending — whether to send on behalf of the Contract Insight user rather than the connected account
- Custom field mapping — a Configure custom field mapping button for mapping record fields into the DocuSign envelope
- Authorizing user and DocuSign users — read-only troubleshooting views of the connected account and the users in it, with search, filtering and paging
Steps:
- From the Contract Insight homepage, click Administration at the bottom of the left navigation menu. On the Administration page, under Automation & Data, select External ESign.
- Click the DocuSign tile.
- Click Edit settings in the upper right.
- Adjust the sections you need — the request wording, reminders, expiry, import preferences and sending behaviour.
- Save the changes.
Note: To use Contract Insight’s reminders and expiry, the DocuSign account must allow senders to override account defaults. The Authorizing user and DocuSign users sections populate automatically and cannot be edited here; an empty user list points to a problem with the connected DocuSign credentials.
5. Adobe Acrobat Sign
The Adobe Acrobat Sign screen covers “How documents sent for signature through Adobe are addressed, and how signed copies come back.” Discard and Save changes sit in the upper right.
- Sending — a Send on behalf of the CobbleStone user toggle, which determines whether the document is sent as the current Contract Insight user or using the credentials of the user who authorized the connection, together with the Default email message sent to recipients
- Importing signed documents — the Document import preference governing whether signed documents come back as one file or several, an Audit pages option to download the audit page, and a Keep the record’s folder structure toggle
Note: Where both the combine-into-one-file option and the folder-structure option are enabled, the signed file is saved to the folder of the last file in the agreement. Connecting or disconnecting the Adobe account is done on OAuth Authorizations, and collection frequency on Scheduled Jobs.
6. signNow
The signNow screen governs “Whether people may send documents through signNow, and how those requests are addressed.”
- Availability — Let people authorize and use signNow, which must be on for employees to authorize the integration individually, and Import the signing history, which appends the signNow history log to the returned document
- The signing request email — the Subject and Message sent to signers
Note: Each employee authorizes signNow individually, so switching the availability option on is what allows them to do so rather than connecting the account itself. The signNow API key and secret are managed with the other connections on OAuth Authorizations, not on this screen.
7. DocJuris
The DocJuris screen holds “The organization and API key Contract Insight uses to reach DocJuris.” Its Connection section takes the Organization ID and the API key, with Discard and Save changes in the upper right.
Note: Until a key is saved, the screen states plainly that no key is saved yet and that DocJuris calls will fail. Keys and secrets are issued by the provider and should be entered by an administrator directly, never circulated by e-mail or recorded in shared documentation.
8. Managing Connections on OAuth Authorizations
Function: Shows the apps connected to Contract Insight and the account each one acts as.
Steps:
- From the Contract Insight homepage, click Administration at the bottom of the left navigation menu. On the Administration page, under Security & Access, select OAuth Authorizations. The signNow and Adobe screens also link to it directly.
- Review the grid, which lists each connected application with its Application, Authorization, Added, Updated and Expires values, each column filterable, with a Search box above the grid.
- Check the Expires value for an e-signature provider if sending or importing has stopped working — an expired authorization is a common cause.
- Click + Connect an app in the upper right to add a connection. You are taken to the provider to sign in and confirm the authorization.
- Use the delete button on a row to remove a connection that is no longer needed.
Note: Signing in to the provider is done on the provider’s own site. Enter those credentials there directly, and remove an authorization through this screen rather than by sharing or reusing account details.
