Note: Each procedure in this guide begins at the Contract Insight homepage, so any section can be followed on its own. Custom fields are configurable, so the exact field list on a contract category record may vary between environments.

1. Overview

A new employee/user account is created from Directory > Employees using the "Add" button, which opens a short License level step before the full record form. The License level step names the level (e.g. Admin) and shows current sessions for that level against the system's maximum seat count, so an administrator can confirm a seat is available before continuing. The full Add Employee form that follows is an 8-step wizard — Details, User Account Details, plus several organization-specific custom-field sections and a final Record Info step — and can be saved as a draft partway through or completed and saved as a full record.

 

2. Key Elements

  • From Directory > Employees, the "Add" button in the top right starts the flow; the first screen asks only for the new account's License level and shows that level's current session count against the license's maximum.
  • Clicking Continue opens the full Add Employee form, organized into numbered steps shown in a right-hand rail (Details; User Account Details; any organization-specific custom sections; and Record Info).
  • The Details step captures core identity and contact fields — First Name and Last Name (required), Email Address (required), Title, Address, phone numbers, and a Department/Business Unit picker (required) that can also add a new department inline.
  • The User Account Details step sets the sign-in and access basics for the new account: Username, Password, License Level (carried over from the first screen), Delegate Tasks To, Force Password Reset on Login, Regional Setting (required), Languages, and Sys Admin.
  • "Save as draft" and "Save Record" are both available from any step, and each section in the right-hand rail can be jumped to directly rather than stepping through sequentially.
