Note: Each procedure in this guide begins at the Contract Insight homepage, so any section can be followed on its own. Custom fields are configurable, so the exact field list on a contract category record may vary between environments.

1. Overview

Every employee/user account is assigned one of four license levels — Admin, Super, Standard, and Read-Only — which together determine what that person can see and do in the application. Administration > License & Session Usage shows, live, how many seats of each level are currently in use against the license's total seat allotment (in this QA environment: 24 Admin, 1 Super, 2 Standard, and 0 Read-Only seats in use, each against a cap of 10,000), plus a 7/30/90-day history of peak sessions by license type and an all-time peak-concurrency figure. The same license level is selected for a new account on the first step of the Add Employee wizard, where the seat count for the chosen level is checked live against the system's licensed maximum before the account can be created.

2. Key Elements

  • The four license levels are Admin, Super, Standard, and Read-Only; higher levels generally unlock broader administrative and editing capability, while Read-Only restricts an account to viewing records.
  • Administration > License & Session Usage (also reachable from Session Manager via the "Usage" link) shows a live "Right now" seat count per license level plus historical peak-usage figures over a selectable date range.
  • Seat availability is enforced at account-creation time: the Add Employee wizard's first step shows current sessions for the selected license level against the licensed maximum before allowing you to continue.
  • An existing employee's license level can be changed from their own record's summary panel (a License Level dropdown with an Update button) without going through the full edit form.
