Custom fields are configurable, so the exact field list on a contract category record may vary between environments. # 1. Overview **Edit with VISDOM+ IntelliXtract®** opens a record's document in the AI workbench, where users can compare the document's values against the record, review clauses VISDOM found, and redline the document with VISDOM at their side. Word documents open for editing; PDFs open for VISDOM analysis. # 2. Key Elements - The workbench can be opened from the record's **Actions** menu (**Update with VISDOM**), from the **Edit with VISDOM** icon on a file in **Files / Attachments**, or from a file's **Document tools** menu. - The **Which document?** screen lets users pick the record, the VISDOM features to run, and the file to open. - The workbench shows the document on the left and a VISDOM panel on the right, with tabs for **Next steps**, **Record**, **Changes**, **VISDOM Tools**, **Playbook**, and **More**. - **Save** saves document and record changes together; **Save and close** also returns to the record. # 3. Opening the Workbench ## 3a. From the Actions Menu 1. From the Contract Insight homepage, open the record (for example, a contract). 2. Click **Actions** and select **Update with VISDOM** (under **Record Actions**). This opens the document selection screen (see Section 4). ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-01-actions.png) ## 3b. From Document Tools 1. On the **Attachments & Templates** tab, click the **Document tools** icon for the file. 2. Under **Edit & collaborate**, select **Edit with VISDOM**. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-03-doctools.png) **Note:** When opened from the Files / Attachments section or Document Tools, the selected file opens directly in the workbench and the document selection step is skipped. # 4. Selecting a Document The **Which document?** screen shows the following: 1. **Record** – the record the document belongs to. Click **Open record** to return to it, or **Work on a different record instead** to pick another record. 2. **VISDOM Tools** – the VISDOM+ processing features that will run. Click **change…** to open the **Select features** window (see below). 3. **Documents on [record]** – the files attached to the record, with file type, version, and date. Click **Edit with VISDOM** next to a Word file, or **Analyze with VISDOM** next to a PDF. 4. **Drop a document here** – drag a file into the box or click **Browse** to upload a new one (Word, .rtf, .txt, or PDF, up to 30 MB). The file is added to the record and opens in the workbench right away. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-04-which-doc.png) In the **Select features** window, **Field extractions** (compare the document's values against the record) is selected by default. Click **Reset to default** to restore the default selection, then **Done** (or **Cancel** to close without changes). ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-05-features.png) **Note:** VISDOM processes the document when it opens. This may take a moment, depending on the size of the document. # 5. The Workbench ## 5a. Header Controls The workbench is split into two areas: the document on the left and a VISDOM panel on the right. The header shows the file name and contains the panel tabs, along with the following buttons: - **Back** (arrow) – returns to the document list. - **Re-analyze the document** – runs VISDOM processing on the document again. - **Ask VISDOM** (sparkle icon) – opens the Ask VISDOM panel. - **Save** – saves changes made to the document and the record fields together. Use the drop-down arrow and select **Save and close** to save and return to the record. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-06-header.png) ## 5b. Document Pane The icons on the left edge of the document pane switch between views: - **Edit** – edit the document. Changes are tracked, and they are what gets filed when saved. - **Text view** – one reflowed column with no page layout. - **Page view** – the document's real pages, with findings marked on them. - **Highlights** – available in the read views (Text and Page view). In Edit view, the editing toolbar provides Undo, Redo, Image, Table, Hyperlink, Find, Comments, and Local Clipboard, and can be hidden to show more of the page. The bottom bar shows the page number and lets users switch between Print and Web layout and change the zoom level. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-07-docpane.png) ## 5c. Panel Controls Each panel on the right has buttons in its top corner to expand every card, pack the cards tighter, widen the panel, or hide the panel to give the document more room. # 6. Reviewing Next Steps **Next steps** opens first and lists the items that need attention, with a count shown on the tab. Examples include fields that disagree with the document, field values read from the document, and a prompt to compare the document to your playbooks. 1. Click **Review** or **Compare** on an item to open the related panel. 2. In the **Ask VISDOM about this contract** section, click a suggested question or **Open the assistant** to go to Ask VISDOM. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-08-nextsteps.png) # 7. Comparing Values on the Record Tab The **Record** tab compares the values VISDOM extracted from the document with the values stored on the record. The tab shows how many fields disagree. 1. Filter the **VISDOM extraction** results using the buttons at the top: **All**, **Differ**, **To fill in**, **Agree**, and **Other**. 2. Each card shows the field name, the value **On the record**, and the value **In the document**. Click the magnifying glass to find the value in the document. 3. Choose how to resolve each card: - **Copy** – copies the document's value to the clipboard. - **Keep the record's** – keeps the current record value. - **Use the document's** – updates the field with the value from the document. 4. Click **Fill in all** to fill every empty field with the value found in the document. Below the extraction cards, the standard CobbleStone® record form is displayed with its tabs, so users can edit any field on the record directly. An **Unsaved** indicator appears while there are pending changes. Record changes are saved together with document changes when **Save** is clicked. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-09-record.png) **Note:** Cards for fields that are not on the record's form (marked **Not on this form**) offer **Copy** only. # 8. Reviewing Tracked Changes The **Changes** tab lists tracked changes in the document. Every edit made by the user or by VISDOM is recorded as a change that can be accepted or rejected here. - **Track edits** – turns change tracking on or off. - **Editor's pane** – shows the changes in the document editor's own pane. - **Refresh** – reloads the list of changes. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-10-changes.png) # 9. Using VISDOM Tools Click the **VISDOM Tools** drop-down to choose **Found Clauses**, **Ask VISDOM**, or **Negotiation brief**. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-11-tools-menu.png) ## 9a. Found Clauses **Found Clauses** lists the clauses VISDOM located in the document, with the number found. Each card shows the clause name, its matching clause type, and the clause text. Click the arrow to expand a card or the magnifying glass to find the clause in the document. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-12-found-clauses.png) ## 9b. Ask VISDOM **Ask VISDOM** is a Q&A assistant for the document. VISDOM has read the document, the record it belongs to, and everything it found in both. Type a question in the **Ask about this contract…** box and click send, or select a suggested question. It can also be opened from the sparkle icon in the header. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-13-ask.png) ## 9c. Negotiation Brief Click **Draft the brief** to have VISDOM write up what to ask the other side to change: each point with the reason, what you would accept instead, and where it sits in the document. The brief is built from the open findings on this contract, record disagreements, and your playbook's guidance. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-14-negotiation.png) # 10. Checking Against a Playbook The **Playbook** tab checks the document against your organization's playbooks. VISDOM scores every clause in the selected playbooks against the document's language, showing what is covered, what deviates, and what is missing. 1. Select one or more playbooks under **Available Playbooks**. 2. Enter the **Match %** threshold (default 80). 3. Click **Compare**. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-15-playbook.png) # 11. Viewing Key Info The **More** drop-down contains **Key Info**, which lists document-wide values VISDOM read alongside the clauses, such as renewal term, non-renewal notice, term span, termination notice, force majeure key terms, and contract title. Click a value to find it in the document. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-16-keyinfo.png) # 12. Saving and Returning to the Record 1. Click **Save** to save changes to both the document and the record. 2. To save and return to the record in one step, click the **Save** drop-down arrow and select **Save and close**. 3. To leave without saving, click the back arrow to return to the document list, then **Open record**. ![](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/vx-17-save.png) # 13.
