Admin User Manual › VISDOM & Risk Management › Configuring Fields* **Note:** Each procedure in this guide begins at the Contract Insight homepage, so any section can be followed on its own. Custom fields are configurable, so the exact field list on a contract category record may vary between environments. # 1. Overview Administration > **VISDOM Configuration** is the central screen for tuning how VISDOM behaves across the system, organized into five tabs. **Availability** controls whether VISDOM is on at all (Turn VISDOM AI off for everyone) and which edition — VISDOM or VISDOM+ — the AI doors open with by default. **Default extractions** sets which extraction passes are ticked the first time someone runs VISDOM on a document, grouped as Field extractions, the CLAUSES group (Clause extraction, Clause sentiment, and High-risk findings), and passes that run on their own (Possible system additions, Obligations, and GSA extraction); Clause sentiment, High-risk findings, and GSA extraction all read the clause pass, so they only run when Clause extraction is on. **Clause categories** sets which clause categories VISDOM sorts a document’s paragraphs into for each record area (Contract Requests, Contract Details, Vendors/Customers, Employee Details, Purchase Order Header Screen, and Solicitation Details). **Extraction behaviour** sets numeric thresholds: percentage cutoffs for hiding or flagging low-confidence obligation suggestions, how many fields a single extraction pass may fill, and how many characters of document text are handed to the assistant before truncation. **Models & providers**, under an AI Profile Manager panel, shows the effective tier (VISDOM+, managed by CobbleStone), the default provider and model (VISDOM (VaaS) / gpt-4o-mini in this environment), and a per-service routing table listing every AI-backed capability — Field Extraction, Obligation Analysis, Obligation Tasks, Record Type, LLM Agent (Chat), Language Risk, Value Selection, Sentiment, and Setup Assistant — each with its own enabled toggle and provider/model/fallback-provider/fallback-model selectors, defaulting to (inherit) from the tier default. # 2. Key Elements - **Availability tab** — global on/off switch and default VISDOM vs. VISDOM+ edition. - **Default extractions tab** — the extraction passes pre-selected the first time a person runs VISDOM (Field extractions; Clause extraction, Clause sentiment, High-risk findings; Possible system additions, Obligations, GSA extraction). - **Clause categories tab** — the clause category set each record area (and any record type with its own plan) classifies against. - **Extraction behaviour tab** — obligation-confidence thresholds and per-document field/character limits. - **Models & providers tab** — AI Profile Manager with per-service (Field Extraction, Obligation Analysis, Obligation Tasks, Record Type, LLM Agent (Chat), Language Risk, Value Selection, Sentiment, Setup Assistant) provider/model routing and fallbacks. # 3. Opening VISDOM Configuration VISDOM Configuration is located on the Administration page, in the **VISDOM AI** group alongside VISDOM Status and VISDOM Usage. 1. From the homepage, click **Administration** (the sliders icon at the bottom of the left navigation bar). 2. Scroll to the **VISDOM AI** group. 3. Click **VISDOM Configuration**. The screen opens on the Availability tab. ![Administration page with the VISDOM Configuration card highlighted in the VISDOM AI group](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/01-admin-visdom-ai.png) # 4. Turning VISDOM On or Off and Setting the Default Edition The **Availability** tab controls whether VISDOM is available at all, and which version the AI doors open with. **Turn VISDOM AI off for everyone** hides the assistant, AI-assisted creation, and document extraction across the whole system — nothing calls VISDOM while it is on. **Which VISDOM the AI doors open with** sets the version (VISDOM or VISDOM+) that Create with VISDOM and Edit with VISDOM start in; people can still switch while they work. Individual users can also turn VISDOM off just for themselves from the VISDOM AI switch in their profile menu, but turning it off here overrides that for everyone. 1. Open **Administration → VISDOM Configuration** and select the **Availability** tab. 2. Set the **Turn VISDOM AI off for everyone** toggle (leave it **Off** to keep VISDOM available). 3. Select the default edition from the **Which VISDOM the AI doors open with** dropdown. 4. Click **Save changes** (or **Discard changes** to revert). ![VISDOM Configuration Availability tab](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/02-availability-tab.png) # 5. Setting Default Extractions The **Default extractions** tab sets which extraction passes are ticked the first time somebody runs VISDOM on a document. From then on, each person keeps their own last selection — Create with VISDOM and Edit with VISDOM remember what they chose — so this is the starting point, not a limit. Clause sentiment, High-risk findings, and GSA extraction all read the clause pass, so they remain unavailable until **Clause extraction** is selected. 1. Open **Administration → VISDOM Configuration** and select the **Default extractions** tab. 2. Select the passes to pre-select: **Field extractions**; under **CLAUSES**, **Clause extraction**, **Clause sentiment**, and **High-risk findings**; under **ON THEIR OWN**, **Possible system additions**, **Obligations**, and **GSA extraction**. 3. Click **Save default extractions**. ![VISDOM Configuration Default extractions tab](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/03-default-extractions-tab.png) # 6. Assigning Clause Categories The **Clause categories** tab sets which clause categories VISDOM sorts a document’s paragraphs into. Each record type can classify against a different set — a lease against lease categories, a consulting agreement against consulting ones — and a type with no set of its own uses its area’s default (**Every type without its own plan**). Categories are listed per area (Contract Requests, Contract Details, Vendors/Customers, Employee Details, Purchase Order Header Screen, and Solicitation Details); categories tagged **COMBINED** merge two category sets. 1. Open **Administration → VISDOM Configuration** and select the **Clause categories** tab. 2. Scroll to the record area to configure. 3. Select or clear the clause categories for that area’s plan. Changes are saved automatically (a **Saved** indicator appears at the bottom of the tab). ![VISDOM Configuration Clause categories tab](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/04-clause-categories-tab.png) # 7. Adjusting Extraction Behaviour The **Extraction behaviour** tab sets what VISDOM decides for itself when it reads a document, the limits it works within, and how confident it has to be before it puts a suggestion in front of somebody. - **Hide obligation suggestions below** — percentage; a suggested obligation type less certain than this is not shown at all. - **Flag obligation suggestions below** — percentage; a suggested obligation type between this value and the hide cutoff is shown, marked as low confidence. - **Most fields read from one document** — how many fields a single extraction pass may fill; raising it means longer runs on wide record types. - **Most characters of document text kept** — the document text handed to the assistant is truncated at this length; empty or 0 means 64,000. 1. Open **Administration → VISDOM Configuration** and select the **Extraction behaviour** tab. 2. Enter the new values in the fields above. 3. Click **Save changes** (or **Discard changes** to revert). ![VISDOM Configuration Extraction behaviour tab](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/05-extraction-behaviour-tab.png) # 8. Reviewing Models & Providers The **Models & providers** tab sets which AI provider and model each VISDOM service uses. The tier included with the license is set by CobbleStone, and the choices available here are bounded by it and by the server-enforced routing policy. The **AI Profile Manager** panel shows the **Effective tier**, **Default tier**, and **Routing policy**, followed by **Tier defaults** (the default provider and model used when a service doesn’t define its own). 1. Open **Administration → VISDOM Configuration** and select the **Models & providers** tab. 2. Review the **Effective tier**, and adjust the **Default tier**, **Default provider**, and **Default model** if needed. ![VISDOM Configuration Models & providers tab showing the AI Profile Manager](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/06-models-providers-tab.png) 1. Scroll to **Per-service routing**. For each service, set **Enabled**, **Provider**, **Model**, **Fallback provider**, and **Fallback model**, or leave them at **(inherit)** / **(none)** to use the tier defaults. Services marked **Model chosen by VISDOM Services** are routed by VISDOM and their selectors are unavailable. 2. Click **Save Routing Profile**. ![Models & providers tab Per-service routing table](https://cdn.document360.io/e3626857-1fb5-4e27-b278-2d3fc5508be4/Images/Documentation/07-per-service-routing.png) # 9.
