# 22.1.2 - Module: Document Collaboration & E-Signature

Optional Add-On Module for the collaboration of documents between internal and external users/participants. This module utilizes E-Approval (Electronic Approval) and/or E-Signature (Electronic Signature) processing to support full online negotiation via a secure online portal.

#### DOCUMENT COLLABORATION & E-SIGNATURE NEW FEATURES

#### **NEW FEATURE:** **Signing Portal Overhaul** *Reference #: 230811.439.956*

The signing portal has been overhauled to improve security.

When setting up the IntelliSign process, bulk signing, merged template, or IntelliSign after merged template - if the participant is an Employee, then the email link for Signing document should open it in the core Contract Insight system. If employee is already logged in, then the link will take the employee to the signing page. If the employee is not logged in then the link will take them to the login page. After logging in, the employee will be able to sign the document.

If the participant is a company contact, then the email link for signing the document will open it in the Vendor/Client Gateway Portal. If the company contact is already logged in then the link will open to the signing page. If they are not logged in, it will take them to login page. After logging in, the company contact should be able to sign the document.

Nothing will change for the External Signer process.

If there are any old signing processes still active that use the Signing Portal, now it should redirect to Contract Insight for employees and Vendor/Client Gateway for company contacts.

Inactive employees are able to sign using E-Sign portal.

Inactive company contacts are not be able to sign the document.

An active company contact who does not have a username/password will be able to sign using the E-sign portal.

**Config Setting Changes:**

New configuration group **IntelliSign** allows control over what types of signers are allowed for IntelliSign processes, and whether it is an option on the Files/Attachments section of records.

New configuration group **Authentication** contains new config setting **Allow** **simple authentication through E-Sign Gateway**.

This new config setting lets users choose to show or hide PIN authentication in My Signature Settings, as well as on Template overview, core and VCG gateway signature page, IntelliSign and merged IntelliSign pages.

*How will this affect users?*

Employees and Company Contacts will be prompted to log in if they are not already logged in before completing signing processes.

**RESOLUTION:** **Setting Signature Placeholders while Zoomed Out and Intellisign from a document package** *Reference #: 230811.439.1015*

Updated IntelliSign UI and fixed issue where the document would disappear when zooming out while setting placeholder fields.

**RESOLUTION:** **Document Template - Mergeable Subtables edge of tables being cut off on document and previewer** *Reference #: 230811.509.944*

Upon merging a Sub Table onto a Document within Document Templates if there were more than 8 fields it would be cut off the document. This has been corrected so all fields will display on the document.

**RESOLUTION:** **Not Able to Access Old Signature Processes** *Reference #: 230811.439.1152*

A client had found they were unable to access signing processes that were created before updating their system. A fix was applied and now signing processes should be able to be accessed as expected.
